Orchestrate work
across people, systems and AI.

Your business processes now run through people, systems and AI agents. Kikwiflow coordinates that work end to end, with rules, state and a full audit trail, so nothing falls through the cracks and your team can step in when it matters.

Every leap in technology added a new participant to the work.

01

People

Before computers, processes ran on people, paperwork, phone calls and manual decisions. The process existed, but getting it done depended on every individual involved.

02

Systems

Computers turned parts of the work into software. People started operating systems, and processes gained speed, scale and consistency.

03

Automation

Then we made systems work on their own. APIs, events, queues and integrations cut manual work, but made it harder to coordinate dependencies, state and failures.

04

AI

Now AI can analyze, decide and act, too. The process has to know when to trust it, when to bring in a human, and how to keep going when any participant fails.

That's where Kikwiflow comes in: coordinating all of them in a single process.
CR Craft model

Model how the work should happen.

Start with the process, not the technology. Visually map who does what, which systems are involved, where decisions are made, when to wait and what should happen if something fails. The process stops being documentation on the side and becomes an executable part of your operation.

EN Engine run

Get people, systems and AI working together.

Engine runs the process and keeps track of its state. A step can be performed by a person, a system, an event or an AI agent. Whether it has to wait, get approval, retry, pause or resume, the process always knows exactly where it is. AI can make decisions within a step; the process stays in charge of the rules, limits and next steps.

Built for AI agents: call an LLM or AI agent from any step and the process handles the rest: timeouts, retries, pauses for human approval and a full trail of every step in Monitor. The agent decides; the process guarantees.

MN Monitor observe

Know what's happening. Step in when you need to.

When work spans people, systems and AI, a dashboard isn't enough. Monitor shows the real state of every process: who or what performed each step, where an instance stopped and what comes next. Fix, approve, retry or resume without reconstructing the story from logs.

One process. People, systems and AI in the same context.

Kikwiflow proves its value when work crosses boundaries: a person kicks it off, a system validates, an AI analyzes, someone else approves and an integration closes it out. The process keeps everyone in the same context.

Builders

The process is visible before implementation starts. Your team discusses business rules in the same artifact that will later run in production, while the technical implementation stays in code. Less translation between intent, development and operations.

Operators

The process is no longer a black box between systems. When an instance gets stuck, your team sees the exact step, its context and its current state, and can intervene and resume from there instead of rebuilding the incident from scattered logs.

Decision-makers

Your operation gets context, not just metrics. See where processes stand, how long they sit at each step, where people need to step in, and how AI and systems are contributing to the work.

Not a concept. It's already running in production.

Kikwiflow already coordinates real business processes under real load, with persistent state and incidents handled without restarting the whole operation.

Automating a task isn't the same as coordinating the work.

A modern operation can involve people, APIs, events, legacy systems, modern services and AI. The challenge isn't just automating each piece. It's getting the work through all of them without losing context, state, ownership or control.

TASK AUTOMATION

Automates pieces of the work: calls an API, sends a message, transforms data, triggers a job. It works well until the process has to wait for a person, handle a decision, coordinate several systems or survive a failure halfway through.

WORK ORCHESTRATION

What the market calls application orchestration. Kikwiflow connects people, systems and AI in a process that keeps state, context and ownership. A step can fail, wait, request approval or require human intervention without derailing the rest of the operation. The process coordinates the work; each participant does what it does best.

Where work gets stuck, and how to get it moving again.

The industry changes, but the pattern repeats: work flowing across people, systems and AI with no one coordinating it. A few examples of where Kikwiflow fits.

Customer onboarding

ProblemSign-up passes through several teams and systems. The customer waits without knowing the status, and no one knows where the case stalled.

With KikwiflowAutomated checks across systems, AI document review, human review only for exceptions, and visible status from start to finish.

Proposals, credit and approvals

ProblemApprovals live in email and spreadsheets. Approval limits get bypassed and decisions go unrecorded.

With KikwiflowApproval-authority rules built into the process, deadlines with automatic escalation, and a record of who approved what, and when.

Customer service with AI and people

ProblemThe AI answers, but doesn't know when to stop. Sensitive cases end up without a human owner.

With KikwiflowThe AI agent handles what it can; the process sets the limits and hands off to a person with the full case context.

Back office across systems

ProblemIntegrations between legacy systems and new services fail silently, and work stops halfway.

With KikwiflowEach integration becomes a step with retries, error handling and resumption from the exact point of failure.

Deadline- and SLA-driven operations

ProblemWaits, reminders and exceptions live in people's heads, and SLAs are only measured after they've been breached.

With KikwiflowTimers, reminders and escalations are part of the process, and every deadline is tracked in real time.

Frequently asked questions

What operations, product and engineering leaders usually ask before putting a critical process on Kikwiflow.

What is Kikwiflow?

Kikwiflow is an open core work orchestration platform. It coordinates the steps performed by people, systems and AI agents in a single process, and keeps the state, rules and history of every run. Your operation always knows where each case stands and what happens next.

What business problem does Kikwiflow solve?

Work that falls through the cracks between teams, systems and tools. When a process depends on many people and systems, you get stalled cases with no owner, rework, missed deadlines and undocumented decisions. Kikwiflow turns that flow into an executable process where every step has a clear owner, deadline, exception rule and next step.

How do we put AI into operations without losing control?

Put AI inside a process, not in place of it. In Kikwiflow, an AI agent acts or decides within a step, while the process sets the boundaries, the time limit, the retries and when a person needs to review or approve. Every step is recorded, so you can audit what the AI did and intervene when needed.

What happens when a step fails or is waiting on a person?

The process waits, retries or escalates, without losing the work already done. The state of every instance is persisted: if a system goes down, an approval takes too long or a business exception occurs, the case stops at the exact point and can resume from there. No starting over, no piecing the story together from logs.

How can I see where every process stands in real time?

With Monitor. It shows every running instance, the step it is on, who or what performed each step, how long the case spent at each stage and where incidents are. From there, your team can fix, approve, retry or resume a case.

Do I have to replace the systems I already use?

No. Kikwiflow coordinates the systems, APIs, events and people that are already part of your operation, including legacy systems. It takes over the coordination between them, not the job each one does. You can start with a single process and expand from there.

Where does my operational data live?

In your own infrastructure. Kikwiflow is self-hosted: the engine runs in your environment and persistence lives in your database, under your own security and compliance policies. That makes it easier to meet data-residency requirements such as GDPR.

How much does it cost, and how do I get started?

The core is free and open source: Craft, Engine and Monitor can be used with no sign-up, on your own infrastructure. For business-critical operations, atoxfy offers the Enterprise plan, with dedicated 24/7 support, consulting and training, priced on request. The fastest way to start is to model your first process in Craft.

Is Kikwiflow already running in production?

Yes. Since September 2025, Kikwiflow has orchestrated the CRM of a large automotive sales franchise network 24/7, coordinating more than 45,000 deals.
